Sunny Coast Bootcamp & Sunny Coast Strong

Sunny Coast Bootcamp runs group fitness and strength training sessions on the Sunshine Coast, including our outdoor bootcamp program and our Sunny Coast Strong strength training classes for the over-60s community. We're committed to protecting the privacy of our members, participants, and website visitors.

This Privacy Policy explains how we collect, hold, use, and disclose your personal information, and how you can access or correct your information or make a complaint. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By booking a session, signing up for a membership, or using our website, you agree to the collection and use of your information as described in this policy.

1. What Personal Information We Collect

Depending on how you interact with us, we may collect:

  • Contact details: name, email, phone number, and address

  • Emergency contact details:  for use in case of an incident during a session

  • Booking and membership information: session history, attendance, membership or pack type, and payment status

  • Payment information: billing details processed via our payment or direct debit provider; we do not directly store full card or bank account numbers

  • Health and fitness information: details you provide in a pre-exercise health screening or Physical Activity Readiness Questionnaire (PAR-Q), such as injuries, medical conditions, medications, or physical limitations relevant to your safe participation

  • Photos and videos: taken during sessions or events for social media and marketing, where you've given consent (see our Terms & Conditions)

  • Technical and usage information: collected automatically via our website such as IP address, browser type, and pages visited

Health information

Information you provide about your health, injuries, or medical conditions, ,including through a health screening or PAR-Q form, is considered sensitive information under the Privacy Act. We only collect this:

  • with your consent (given when you complete a health screening or enrolment form), and

  • because it's reasonably necessary to run our sessions safely, including tailoring exercises to your needs and responding appropriately in the event of an injury or medical incident.

This is especially relevant for our Sunny Coast Strong participants, where we ask about relevant health conditions to help our trainers deliver sessions safely and appropriately for an over-60s cohort. We do not use your health information for any purpose beyond your safe participation, unless you separately consent (for example, to a testimonial mentioning a health outcome).

2. How We Collect Personal Information

We collect personal information directly from you when you:

  • Book a casual class, trial, or membership

  • Complete a health screening, PAR-Q, or enrolment form

  • Contact us with an enquiry

  • Attend a session where photos or video may be taken

  • Interact with us on social media or our website

We may also collect information from our booking and payment platforms, and, where relevant and with your consent, from an emergency contact or, in an emergency, treating paramedics or medical staff.

3. Why We Collect, Hold, and Use Your Personal Information

We use personal information to:

  • Process bookings, memberships, and payments

  • Screen for health and safety considerations before you participate

  • Tailor session content and coaching to your fitness level and any relevant health conditions

  • Contact your emergency contact or seek medical assistance if needed during a session

  • Send class updates, reminders, and service communications

  • Send marketing communications, where you've opted in

  • Improve our programs, website, and member experience

  • Comply with legal, insurance, and work health and safety obligations

4. Disclosure of Your Personal Information

We may disclose personal information to third parties who help us run our business, including:

  • Payment and direct debit providers, to process membership and casual payments

  • Booking and class management platforms, to manage your bookings and attendance

  • Insurance providers, in the event of a claim

  • Emergency services or medical personnel, if required during a session

  • Website hosting and email marketing providers

  • We do not sell your personal information to third parties.

 

Overseas disclosure

Some of our service providers (such as our booking platform or email marketing tool) may store or process data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure these providers handle your information consistently with the Australian Privacy Principles.

5. Data Security

We take reasonable steps to protect the personal information we hold, including health information collected via screening forms, from misuse, loss, or unauthorised access. This includes restricting access to member health records to trainers who need it to deliver sessions safely, and using secure, reputable booking and payment platforms.

 

We retain personal information only as long as necessary for the purposes described in this policy, or as required by law (including insurance and incident-record obligations).

6. Cookies & Website Analytics

​Our website may use cookies and similar technologies to support browsing, remember preferences, and understand how visitors use our site. You can adjust your browser settings to refuse cookies, though this may affect site functionality.

7. Access & Correction

You can request access to the personal information we hold about you, including your health screening information, and ask us to correct it if it's inaccurate or out of date. Contact us using the details in Section 11.

8. Complaints

If you believe we've breached the Australian Privacy Principles, please contact us first so we can investigate. If you're not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC):

9. Children's Privacy

Our programs are designed for adult participants. If we ever run sessions involving participants under 18, we will collect a parent or guardian's consent before collecting any personal information about a minor.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted here with a revised "last updated" date.

11. Limitation of Liability

To the extent permitted by law, Sunny Coast Bootcamp and Sunny Coast Strong are not liable for injury, loss, or damage arising from your participation in a session, except to the extent caused by our negligence. Nothing in these Terms excludes, restricts, or modifies any consumer guarantee or right that cannot lawfully be excluded under the Australian Consumer Law.
